Refund Policy
1 Effective Date
Effective Date: January 1, 2026.
2 Non‑Refundable Fees
Application and Invitation Letter fees are fully non‑refundable.
3 Default Refund Method
Refunds are primarily issued as EVA Honor Credits (valid for 18 months, non‑cash, non‑transferable), unless otherwise stated.
4 Processing Time
Approved refunds or credits require 45–60 days for processing.
5 Voluntary Cancellation
Cancellations made 0–14 days before the event: No refund or credit.
6 Credit Eligibility (General)
Eligible for EVA Honor Credits (amount varies by category/timing) for cancellations 15+ days before the event. Reduced credit applies for cancellations within 15–20 days.
7 Visa Denial Rules
Visa denial must be officially documented. Credit eligibility depends on category. Example: Partially Funded participants receive 60% credit if cancelled 10 days prior.
8 Substitutions & Transfers
Refunds and credits are non‑transferable. Limited substitutions may be approved up to 45 days before the event.
9 Event Cancellation / Force Majeure
If EVA postpones or cancels due to emergencies, natural disasters, or force majeure, EVA typically offers credits or rescheduling. Cash refunds may be limited. Registrants are responsible for third‑party costs such as flights or hotels.
10 Submitting a Refund Request
All requests must be sent in writing to support@voiceassembly.org with complete details and required documents.
